Refund Policy
The line that matters is the filing. Before we submit your application to a state, everything is refundable. Once a state has taken it, that state's fee is spent and no one can get it back — not you, and not us.
1. What you are paying for
Every order has two parts, and they behave differently:
- State and agency fees — money we advance to the permitting agency on your behalf. It leaves us the moment we file.
- Our service fee — what you pay Cran Permits for preparing, filing, and managing the permit.
Your invoice shows both separately, per state.
2. Before we file — full refund
You can cancel an order at any time before we submit it to the issuing agency, for any reason, and receive a full refund of everything you paid, including our service fee. There is no cancellation charge.
This includes the case where our permit desk reviews your order and the final total comes back materially higher than the estimate: if you do not want to go ahead at the confirmed price, you cancel and you are made whole.
3. After we file
Once an application has been submitted to a state, its fee is non-refundable — the agency does not return it, whether the permit is issued, delayed, or never used. Our service fee is also earned at that point, because the work it pays for has been done.
Where an order covers several states, this applies state by state. A state we have not yet filed is still fully refundable even if another state on the same order has already gone in.
4. When the fault is ours
If a permit is rejected, has to be re-filed, or is issued wrong because of an error we made, we refund our service fee for that state in full and we re-file at our own cost. Any state fee that has to be paid a second time is on us, not on you.
This does not apply where the filing was based on dimensions, weights, axle data, fleet details, or driver details that you supplied and that turned out to be inaccurate or incomplete. A permit obtained from wrong information is not refundable, and the corrected permit is a new order.
5. When the fault is nobody's
Some outcomes are outside anyone's control: an agency denies the route, imposes a condition you cannot meet, requires a bridge analysis or superload review, or simply takes longer than the trip allows. In those cases the state's fee is still spent and is not refundable, but we will
- amend the permit instead of re-permitting where the agency allows it, at the amendment fee only; and
- waive our service fee on the replacement filing where the original became useless through no fault of yours.
6. Permits you did not use
An issued permit that expires unused is not refundable. Permits are tied to a vehicle, a load, a route, and a date window, and the agency's fee is charged for issuing it, not for using it.
7. How to request a refund
Email support@cranpermits.com with your order number and what you would like refunded, or call +1 224-342-5488. To cancel before filing, reach us as early as you can — orders move quickly, and the cut-off is the moment the application is submitted, not the moment you decide.
We will confirm the outcome by email. Approved refunds go back to the card that was charged; we cannot send a refund to a different card or by another method. Expect it to appear within 5–10 business days once we process it — the exact timing is your bank's, not ours. Refunds are also visible on the order's payment history in the portal.
8. Disputes
If you think a charge is wrong, contact us before disputing it with your bank. A genuine error we will correct straight away, and it is faster than a chargeback. This policy forms part of our Terms of Service.
